Key documents for a successful import

Planning the necessary documentation for your foreign trade operations is essential to avoid unforeseen events. The Federal Revenue Service has specific rules for each type of product, and non-compliance with these rules can lead to disruptions and additional costs.

Certificate of Origin (CO)

A very important document in foreign trade, its function is to verify the authenticity of exported products. In addition, it plays a crucial role in the collection of taxes on commercial transactions.

Packing List

A shipping document that details all the items that make up the cargo, indicating quantity, description, and other relevant information for transportation. Its purpose is to facilitate the identification and location of any product within a lot.

Although there is no standard model for the Packing List in Brazil, it is recommended that it contain, at a minimum, the numbering, marking, and description of the packages.

Proforma Invoice

An informative document that records and formalizes the intent to buy and sell. It is the final document of a negotiation, detailing the terms and conditions agreed upon between the exporter and importer for the purchase.

Bill of Lading

A document omitted by carriers in operations receiving cargo from abroad or sending cargo to other countries. It is one of the most important documents as it officializes the hiring of transportation and receipt of a shipment of origin.

Furthermore, according to the type of transport (modal), the document may have the following names:

  • Maritime: Bill of Landing.
  • Air: Airway BillMaster Airway Bill or House Airway Bill.
  • Road: Road Transport Bill.
  • Multimodal: Through Bill of Landing.
  • Rail: Railway Bill of Lading.

Import License (LI)

A regulatory process established by the Federal Government aimed at controlling and authorizing the entry of foreign products into the national territory, ensuring compliance with Brazilian technical and legal standards.

Import Declaration (DI)

A mandatory document for companies that wish to import products into Brazil. Through it, it is possible to prove the payment of all taxes and verify if the company has the necessary authorizations to operate in foreign trade.

Types of import declaration

The types depend on the nature of the clearances or any specific situation in relation to the merchandise:

  • Standard Import Declaration (DI): Records the tax, commercial, and fiscal information of the merchandise.
  • Simplified Import Declaration (DSI): Allowed only when it is necessary to facilitate the import process. It can be in the form of a DSI Form or Electronic DSI;
  • Import Declaration of Remittance (DIR): Used in the importation of international remittances.
